The first stage in the Youth Choir Festival Partnership 2018 is a visit to Neerpelt in Belgium. From April 27 until May 2, 2018 you can participate in the 66th edition of the European Music Festival for Young People in Neerpelt, Belgium.

If you never participated in our festival, it is good to carefully read this page where we gladly inform you of the regulations for this vocal edition and of the accommodation formulas and prices. Whenever you decide to participate in 2018, take into account that the closing date for entries at the European Music Festival for Young People 2018 is 30th October 2017.

Festival characteristics and regulations

Like any other festival we have some regulations regarding the age and the programme of the choirs. For your convenience we summarize all regulations in one easy to read document that you can download from this page. If your choir fits the regulations, you can register via the below described procedure.

At the core of EMJ: the jury concerts

All participating choirs to EMJ will perform a jury concert before a renowned international jury. They evaluate  all participants' performances from a constructive angle and will hand over a diploma during the proclamation. EMJ offers the possibility to consult the jury in person after the proclamation. A few weeks after the Festival a jury report will be sent emphasising a positive and non-competitive assessment.
Important to notice: EMJ offers a jury evaluation, it is not a contest.
No cash prizes or prizes in kind will be awarded. No allowances will be paid for possible sound and/or video recordings of the performance.
All rights are reserved for the Festival.

Categories
  • Category A1: Children's choirs with children up to the age of 12 year and with an average age of below 11 year
  • Category A2: Children's choirs with children up to the age of 14 year
  • Category B: Equal voice youth choirs
  • Category C: Mixed voice youth choirs
  • Category D: Pennant category children choirs
  • Category E: Pennant category equal voice youth choirs
  • Category F: Pennant category mixed voice youth choirs
  • Category G: Free ensembles: vocal folklore, close harmony, vocal jazz, gospel & spiritual, pop choir, a capella ensembles, vocal ensembles with a limited instrumental accompaniment
Repertoire and duration
You compose the repertoire for your jury performance yourself according to the rules mentioned for your chosen category in the regulations. You determine the order of the works on your application form.
Changes in the programme are only allowed after explicit and written agreement of the organizing committee and only before March 1, 2018. After that date the presented programme must be performed in the order as given on the application form.

Compulsory song
Next to their own repertoire every choir in the categories A up to and included F has to perform a compulsory song composed for the European Music Festival Neerpelt by Flemish composers. This compulsory song will be sent to you in December 2017, together with the confirmation of participation. 
The compulsory song for the category G is an existing Flemish folk song which has to be performed in an own, original arrangement. This folk song also will be sent in the month of December 2017, together with the confirmation of participation. The arrangement of the song has to be sent back to us by March 1, 2018.

Age limitations

The maximum age of the participants is set at the age of 28 year. This means they have not reached the age of 29 at the start of the Festival. For children's choirs the maximum age is determined at 14 years. This means they have not reached the age of 15 at the start of the Festival.
For exceptions on the age limitations, we refer to the extended regulations document.
The festival organization has the right to officially ascertain the age of the participants and will do so in a sample survey.

Marks

A renowned international jury evaluates from a constructive angle all participants' performances and will hand a diploma during the proclamation. The jury can be consulted in person after the proclamation. The diploma states:
  • first prize “summa cum laude"= 98, 99 or 100% 
  • first prize “cum laude" = between 90 and 97%
  • first prize = between 80 and 89%
  • second prize = between 70 and 79%
  • third prize = between 60 and 69%
  • mention = 59% or less

Groups with 90% or more will also receive the festival medal.

Jury report
The jury report - being the individual reports of the jury members and a summary report - emphasises on a positive and non-competitive assessment. It will be mailed to all participating groups a few weeks after the Festival.

Laureate concerts

On festival days, a few choirs that obtained high results in the different categories are selected to perform in prestigious laureate concerts. These concerts are organized in the theatre of the Provinciaal Domein Dommelhof. The commitment of the selected groups to the laureate concert is obliged.

Scores
Upon registration as participant one copy of every score will be delivered to the Festival's administration. This copy will be used to evaluate the choice of category and will remain in the Festival's archives.
Before the jury concert every participating group hands the jury secretary three folders with in each folder one copy of all scores, in the order in which they will be presented. Clearly indicate the name and city of origin of the ensemble on these folders, as they will be returned by the jury secretary immediately after the performance. The scores delivered upon registration will not be accessible.
In Belgium the use of photocopies is forbidden by law. Violation of the law is at your own risk. We advise you to use original scores.

The unique EMJ experience: parades, proclamations, extra concerts, workshops and other events

Festival parade
The festive parade on every Festival day really is one of the Festival's highlights. After their exceptional jury concert the young people are happy to be able to discharge and to celebrate and fraternize with the local population.

Proclamation
The proclamation is always the climax of every festival day, massively attended by all participants and hundreds of visitors. Home base to this breathtaking celebration is the sports hall of the Provinciaal Domein Dommelhof, which is transformed to a huge theatre for this event. All choirs performing their jury concert during the day, receive their performance quotations and a diploma.

Kick-off
On the opening day, the Kick-off is the official start of the European Music Festival for Young People.  All participants get together in a bubbling Festival-hall (sports hall of the Provinciaal Domein Dommelhof) in a relaxing, chilling and friendly atmosphere. Here we welcome the young choirs from around the world to a sparkling show and in a musical way.

A Taste of Neerpelt

After the Kick-off, everyone joins the parade towards the Marktplein for the opening festivities "A Taste of Neerpelt", a popular feast with food, drinks, music and conviviability and an open air spectacle and with fireworks.atasteofneerpelt

Workshops
The Festival organizes several workshops about various topics on vocal music. The main idea is to have participants from different countries singing together. The workshops will be presented by choral experts who have great international fame.
If you wish to participate in a workshop, you can indicate so on your registration form. These workshops are free of charge for all participating groups.

Extra concerts
On all festival days, there are various concerts organized in Neerpelt and the neighbouring towns:
  • fraternization concerts
  • afternoon concerts for nursing homes and hospitals
  • school concerts
  • evening concerts in cooperation with other organisations
  • aperitif and kiosk concerts
  • H. masses
These concerts offer the choirs the opportunity to present themselves and their culture to the audience. Most of the concerts have a relaxed character, in which a light program is performed. Fraternization leads the way. Young people from all over the world meet each other at these concerts and learn to appreciate other cultures through their music. "Alle Menschen werden Brüder".

Happening
The Happening is an evening concert, performed by various forehand selected choirs and visited by a very large audience. Every year the Happening is the musical climax of the international fraternization between the young people that come to the EMJ. It allows us to meet groups from all over the world and to discover a enormous diversity of music styles and instruments.
In this concert everyone is welcome: participants, guest families, volunteers, fans, festival visitors, ...
All selected choirs/ensembles will have the opportunity to perform an individual programme as well as a mutual programme, finished off during a professionally  conducted workshop. The very popular Happening programme offers a various program, enjoyable by everyone. The interpretation is done in conjunction with the conductors and the organising committee.
The scores for the mutual part of the program are sent to the selected groups beforehand, so that they are able to study it at home.

To complete the registration for the vocal festival edition of 2018, we expect following documents to be completed and sent in by 30th October 2017:

  • the registration form
  • a detailed list of participants as requested in the registration form
  • one score of all pieces mentioned in your jury programme
  • a recent (digital) photo of the ensemble
  • a recent sound recording – obliged for all participants
  • a recent DVD recording or qualitative link on the internet – obliged for those registering for the pennant categories

The organizing committee decides on the selection of a group. Only completed and valid applications that arrive in time are eligible. All groups will be notified about their selection and assigned category in December 2017.

 

Formulas

Neerpelt offers full accommodation for all its participants. This means that you do not have to look for sleeping accomodation or meals. The festival offers several formulas in different price categories depending of the type of accommodation and the duration of your stay. The long all-in weekend formula allows you to travel directly from our festival to Cork. Below you will find all formulas with their details.

For your participation at the Festival, you need to make a choice between 3 formulas: long weekend, short weekend or one day stay.

Formula 1: Long weekend all-inclusive, from Friday April 27 until Wednesday May 2, 2018

Formula 1 includes a.o.: 5 nights accommodation, all meals from Friday evening until Wednesday morning, access to all concerts.

For your accommodation, you can select your preference from following options:

  • 1a. Luxery bungalow park (bungalows 4 - 8 pers, bath room per bungalow, tropical swimming paradise, in- en outdoor playground)
  • 1b. Holiday village (bungalows 4 - 8 pers, 1 bath room per bungalow, playground)
  • 1c. Group accommodation (dorms and shared bath rooms in one building)
  • 1d. Host family
For further details we refer to the regulations.

Included in this formula:
  • free entrance to the Kick-off and the opening festivities
  • participation in the jury concert
  • free entrance to all other jury concerts
  • free participation in a workshop and/or other concert
  • free participation in the opening activities on Friday; as participant or as visitor
  • free participation in the evening concerts (laureate concerts excluded unless selected); as participant or as visitor
  • free participation in the farewell activities

Remarks:
In the allocation of the accommodation, the organizing committee will consider the preferred choice as well as the availability of the accommodations.
You can find the definite accommodation for your group on the group fiche that you will receive by the end of March 2018. 

Formula 2: Short weekend all-inclusive, from Friday April 27 until Monday April 30, 2018

Formula 2 includes a.o.: 3 nights accommodation, all meals from Friday evening until Monday morning, access to all concerts.

For your accommodation, you can select your preference from following options:

  • 1a. Luxery bungalow park (bungalows 4 - 8 pers, bath room per bungalow, tropical swimming paradise, in- en outdoor playground)
  • 1b. Holiday village (bungalows 4 - 8 pers, 1 bath room per bungalow, playground)
  • 1c. Group accommodation (dorms and shared bath rooms in one building)
  • 1d. Host family

For further details we refer to the regulations.

Included in this formula:

  • free entrance to the Kick-off and the opening festivities
  • participation in the jury concert
  • free entrance to all other jury concerts
  • free participation in a workshop and/or other concert
  • free participation in the opening activities on Friday; as participant or as visitor
  • free participation in the evening concerts (laureate concerts excluded unless selected); as participant or as visitor
  • free participation in the farewell activities

Groups who want to order extra lunches for their journey, must order these through the festivalsecretariat before March 30, 2018.
No additional packed lunches can be ordered during the festivaldays.

Formula 3 : One day stay on Saturday April 28, Sunday April 29 or on Tuesday May 1, 2018

The group will participate on one day of the Festival only and stay in an EMJ-accommodation.

Formula 3 includes a.o.: access to all concerts.

Included in this formula:

  • free entrance to the Kick-off and the opening festivities
  • participation in the jury concert
  • free entrance to all other jury concerts
  • free participation in a workshop and/or other concert
  • free participation in the opening activities on Friday; as participant or as visitor
  • free participation in the evening concerts (laureate concerts excluded unless selected); as participant or as visitor
  • free participation in the farewell activities
Remarks:
In the allocation of the accommodation, the organizing committee will consider the preferred choice as well as the availability of the accommodations.
You can find the definite accommodation for your group on the group fiche that you will receive be end of March 2018. 

Formula 3 includes no meals. If groups in formula 3 wish to order meals, they can do so - only until March 30, 2018.
Special needs for catering (allergies, vegetarian,...) should also be reported to the festivalsecretariat before March 30, 2018.
Groups who want to order extra lunches for their journey, must order these through the festivalsecretariat before March 30, 2018.
No additional packed lunches can be ordered during the festivaldays.

 

Costs

Because most formulas are all-in formulas we have a easy to understand pricing model. This will allow you to easily calculate the costs upfront and avoid unfortunate surprises during your trip. A participation fee is always applicable, the accommodation fee depends on the chosen formula and type of accommodation. Additionally we can offer you local services when required (e.g. bus transport, trips, ...).

Participation fee

All selected groups will pay a participation fee of € 7,50 per participant with a maximum of € 250 and a minimum of € 75 per choir.

For organisations, wishing to participate with several different choirs, following maximum participation costs will be charged:
  • the first choir: maximum € 250 - minimum € 75
  • the second choir: maximum € 150 - minimum € 75
  • the third and all next choirs: maximum € 125 - minimum € 75
The choir with the highest number of participants is considered to be the first choir.
In the maximum invoice, the maximum number of accompanying adults is 5. The costs for additional accompanying adults will be counted separately on the group invoice.
Persons, who participate in more choirs, pay the participation fee only once.

Accommodation costs

For a stay in formula 1 (long weekend all-in, from Friday 27/04/2018 until Wednesday 02/05/2018) the following prices apply:

  • 1a: Luxery bungalow park: per persoon for the weekend, all in: € 303
  • 1b: Holiday village: per person for the weekend, all in: € 193
  • 1c: Group accommodation: per person for the weekend, all in: € 193
  • 1d: Host family: per person for the weekend, all in: € 193


For a stay in formula 2 (weekend from Friday 27/04/2018 until Monday 30/04/2018) the following prices apply:

  • 2a: Luxery bungalow park: per persoon for the weekend, all in: € 182
  • 2b: Holiday village: per person for the weekend, all in: € 116
  • 2c: Group accommodation: per person for the weekend, all in: € 116
  • 2d: Host family: per person for the weekend, all in: € 116

Catering costs

For groups staying in the weekend formula, all meals are included in the accommodation costs.

  • Additional packed lunches can be ordered for an excursion or for the day of departure: € 5,50 per person

Groups that participate in the one-day formula can order meals at the following prices:

  • Hot lunch: € 9,00 per person
  • Dinner: € 6,50 per person
All meals must be ordered before March 30, 2018.
No additional packed lunches can be ordered during the festivaldays.
